From trial balance to statement of financial position (worked build)
The step from trial balance to financial statements is where AI saves the most time and where errors hide most easily. A model can map fifty ledger accounts in seconds. It can also net a contra account the wrong way, leave a loan due next year in non-current liabilities, or drop a line so that the statement still "balances" after a plug. The professional's job is to design the build so that every one of those errors would be caught.
In this lesson and the next three we build the 2026 financial statements of Ardena Foods Plc, a fictional Nigerian food manufacturer with head office in Abuja and factories in Kaduna and Ogun. We define its trial balance once, here, and reuse it for profit or loss (Lesson 3), cash flows (Lesson 4) and equity and the notes (Lesson 5). Every figure must tie across all four. This lesson builds the statement of financial position.
What the statement of financial position must show
IAS 1 requires the statement of financial position to present a minimum set of line items for the main classes of assets, liabilities and equity, including property, plant and equipment, intangible assets, investments accounted for using the equity method, financial assets, inventories, trade and other receivables, cash and cash equivalents, trade and other payables, provisions, financial liabilities, current and deferred tax, and issued capital and reserves. More lines are added when they help a reader.
Most companies classify assets and liabilities as current or non-current. In plain English, an asset is current if the company expects to realise it within its normal operating cycle or within twelve months, holds it for trading, or it is unrestricted cash. A liability is current if the company expects to settle it within its operating cycle, it is due within twelve months, or the company does not have a right at the reporting date to defer settlement for at least twelve months. That last test is where the judgements live. Since the 2020 and 2022 amendments to IAS 1, effective from 2024, the right to defer must exist at the reporting date, and only covenants that the company must comply with on or before the reporting date affect it. Deferred tax is always non-current.
Two more rules matter for the build. Assets and liabilities are not offset unless a standard requires or permits it, so a bank overdraft is not simply deducted from an unrelated bank balance. But presenting receivables net of their loss allowance is not offsetting: the allowance is part of measuring the receivable, and the gross amount and allowance are disclosed in the notes.
How AI helps, and where it goes wrong
An AI assistant is good at reading account names and proposing a statement line for each, and at explaining its reasoning. Its typical failures are predictable:
- Sign errors on contra accounts. Accumulated depreciation and loss allowances carry credit balances on the asset side. A model that treats them as liabilities produces a statement that is wrong but may still balance.
- Current portions. The trial balance shows one balance for a loan or a lease liability. The split between current and non-current comes from the repayment schedule or the lease schedule, which the AI does not have unless you give it.
- Cash equivalents. Whether a deposit is a cash equivalent depends on its original maturity and terms, not its account name.
- Profit for the year. The trial balance contains the year's income and expense accounts and the opening retained earnings. Closing retained earnings must be derived, not read off.
- Arithmetic. Language models are unreliable at adding long columns. Let the AI produce the mapping and the formulas; let a spreadsheet do the adding.
Worked example
Step 1: the trial balance and the AI's classification
Ardena reports as a group: Ardena Foods Plc and its wholly owned haulage subsidiary, Ardena Logistics Ltd (also fictional). The ERP's consolidation ledger eliminates their intercompany balances and haulage charges, so the consolidated trial balance below, at 31 December 2026 after all year-end adjustments including tax, has no intercompany accounts. The finance team exports it to a spreadsheet and runs the first prompt in this lesson's templates, asking the AI to add a "Statement line" column using Ardena's chart of accounts descriptions and IAS 1. The table shows the result after the controller's review.

| Total | 100,731,000 | 100,731,000 |
The trial balance balances: 51 accounts, ₦100,731,000 thousand on each side. Gurara Grains Ltd is a fictional maize aggregator in which Ardena holds 18% and two of seven board seats; Lesson 5 explains why that is an associate. The tax figures are given by Ardena's tax team; we do not compute tax in this course.
The AI's first draft contained two errors, both typical. It mapped account 1215, the loss allowance, to "Provisions" under current liabilities, and it put the whole of account 2010 under non-current borrowings. Both drafts still balanced, which is exactly why a balancing statement proves less than people think.
Step 2: the judgement lines
Five lines need information that is not in the trial balance. The controller gives the AI the source for each, and records the conclusion.
- Short-term deposits (₦1,800,000k). Treasury's deposit register shows original maturities of 30 to 90 days, with the bank committed to repay principal and accrued interest at maturity. IAS 7 treats short-term, highly liquid investments with an insignificant risk of changes in value as cash equivalents, and an original maturity of about three months or less is the usual benchmark. They are cash equivalents. A six-month deposit would have been a separate current financial asset.
- Bank term loans (₦7,700,000k). The repayment schedule shows ₦2,000,000k falling due during 2027, so that portion is current and ₦5,700,000k is non-current. The facility requires net debt to be no more than 3.0 times EBITDA, tested at 31 December. Treasury's compliance calculation, using the facility's own definitions, shows 0.8 times, so the covenant was met at the reporting date and the right to defer the non-current portion exists. Had it been breached without a waiver obtained by 31 December, the whole loan would have been current.
- Lease liabilities (₦1,718,000k). The lease schedule shows 2027 payments of ₦590,000k, of which ₦162,000k is interest. The current liability is the principal that will be settled within twelve months, ₦428,000k, not the total cash payment. Non-current is ₦1,290,000k.
- Loss allowance (₦412,000k). Deducted from gross trade receivables, not presented as a liability.
- Equity lines. Dividends paid are a distribution to owners, not an expense. The OCI accounts move the fair value reserve, not retained earnings, because gains on equity investments designated at FVOCI are never reclassified to profit or loss.
Step 3: derive profit and closing reserves
The profit or loss accounts close to retained earnings. From the trial balance, income and other credits in profit or loss total 48,260,000 + 137,000 + 45,000 + 236,000 + 152,000 + 214,000 = 49,044,000. Expense debits, including tax, total 46,254,000. Profit for the year is therefore 2,790,000.
| ₦'000 | Retained earnings | Fair value reserve |
|---|---|---|
| At 1 January 2026 (accounts 3040 and 3030) | 14,510,000 | 210,000 |
| Profit for the year | 2,790,000 | – |
| Other comprehensive income, net of tax (110,000 less 11,000) | – | 99,000 |
| Dividends paid | (1,200,000) | – |
| At 31 December 2026 | 16,100,000 | 309,000 |
Step 4: the statement
The spreadsheet builds each statement line with a formula over the mapped trial balance, for example =SUMIFS(TB!D:D,TB!F:F,"Inventories")-SUMIFS(TB!E:E,TB!F:F,"Inventories"), where column D holds debits, E credits and F the statement line. The 2025 column is copied from Ardena's signed 2025 financial statements.

| Current tax liabilities | 1,290,000 | 1,180,000 |
| Total current liabilities | 11,328,000 | 10,380,000 |
| Total liabilities | 20,045,000 | 19,100,000 |
| Total equity and liabilities | 39,904,000 | 37,270,000 |
Step 5: prove it
The controller runs four checks before anyone reads the statement.
- It balances. Total assets of 39,904,000 equal equity of 19,859,000 plus liabilities of 20,045,000, and the 2025 column balances at 37,270,000.
- It ties to the trial balance, line by line. Property, plant and equipment is 31,320,000 less 11,800,000, giving 19,520,000. Trade and other receivables is 5,620,000 less 412,000 plus 728,000, giving 5,936,000. Cash is 1,330,000 plus 1,800,000. Trade and other payables is 5,240,000 plus 2,370,000. Every one of the 51 accounts is mapped exactly once: a count of mapped lines and a check that mapped debits and credits each total 100,731,000 prove nothing was dropped.
- Comparatives agree to the signed 2025 statements, figure by figure, and nothing has been reclassified. If a 2025 line had been re-presented, IAS 1 would require the nature, amount and reason to be disclosed.
- It makes sense. The current ratio is 1.46 (16,486,000 ÷ 11,328,000), against 1.45 last year. Equity rose by 1,689,000, which is total comprehensive income of 2,889,000 less dividends of 1,200,000. Gross trade receivables represent about 42 days of revenue. Nothing jumps out that the business cannot explain.
Prompt templates
You are a financial reporting accountant preparing IFRS financial statements for [company],
year ended [date], presented in [currency and units].
Attached is the trial balance as a table: Code | Account | Debit | Credit.
Task: add one column, "Statement line", mapping every account to a line in an IAS 1 statement of
financial position, or to "Profit or loss" or "OCI" for income statement accounts.
Rules: map every account exactly once; keep contra accounts (accumulated depreciation, loss
allowances) on the asset they reduce; mark any account that needs a current/non-current split or
other information you do not have as "JUDGEMENT: [what is needed]"; do not add up any figures.
Return the full table, then a list of the judgement items.
Use this to get a reviewable first-draft mapping in which the AI flags what it cannot know.
Here is my mapped trial balance [paste] and these source documents: [repayment schedule, lease
schedule, deposit register, covenant certificate].
For each item marked JUDGEMENT, state the conclusion, the amount for each statement line, and the
document and figure you relied on. Then write the spreadsheet formulas (SUMIFS over the mapped
trial balance) that build each statement line, with the 2026 and [prior year] columns.
Do not calculate totals yourself; I will calculate them in the spreadsheet.
Use this to resolve the judgement lines from evidence and to keep the arithmetic in a tool you control.
Check it
- The statement balances in both years, and you know it balances for the right reason: no plug, no suspense line, no "difference" row.
- Every trial balance account is mapped exactly once, and mapped debits and credits each equal the trial balance totals.
- Contra accounts reduce their assets: accumulated depreciation within property, plant and equipment, the loss allowance within receivables.
- Current portions of borrowings and lease liabilities come from the schedules, and the lease figure is principal, not total payments.
- Covenant compliance at the reporting date is evidenced by treasury's calculation, not assumed.
- The prior-year column agrees to the signed accounts, and any reclassification is disclosed.
- Closing retained earnings equal opening plus profit less dividends.
Lecturer's note: A statement of financial position that balances has passed the weakest test there is. Both of the AI's errors in this example, the loss allowance shown as a provision and the loan left entirely non-current, produced statements that balanced perfectly. The checks that catch real errors are the line-by-line tie to the trial balance and the evidence for every split, so build those into the process every time, even when the totals look right.
Key points
- Define the trial balance once and build every statement from it, so that the statements tie to each other by construction.
- Let the AI map and explain, and let the spreadsheet add up: language models are unreliable at long arithmetic.
- Current and non-current splits, cash equivalents and covenant positions need evidence from schedules and registers that the trial balance does not contain.
- Contra accounts, dividends and OCI are classic places for AI mapping errors that still leave the statement in balance.
- Closing reserves are derived from the opening balances, profit, OCI and dividends, never read straight off the trial balance.
Practice task
Using Ardena's trial balance above, suppose treasury reports that the term loan covenant was breached at 31 December 2026 and the bank's waiver arrived on 15 January 2027. Re-present the liabilities section of the 2026 statement of financial position, state what changes in total current liabilities and in the current ratio, and draft two sentences for the notes explaining the classification. A good answer moves the full ₦7,700,000k of borrowings into current liabilities (total current liabilities become 17,028,000 and the current ratio falls to about 0.97), explains that the waiver came after the reporting date and so cannot change the classification, and mentions the waiver in the notes as an event after the reporting period.
